Invoices go out late because the job is already over.

The quote changed twice, the crew ran an hour over, and the invoice gets typed up a week later from memory. Then nobody notices it has sat unpaid for two months.

How invoicing works.

  1. Q1

    A queue to bill

    To invoice lists every job still to bill. Each job is set to invoice before the event or after it.

  2. Q2

    Built from the job

    The invoice comes from the job's current prices, as equipment, costs, crew and transport, with an itemised copy kept beside it. It stays a draft until you issue it.

  3. Q3

    Changes keep their history

    Update an invoice after the job changes and it is repriced in place, with the earlier version kept.

  4. Q4

    Overdue, counted

    Invoices age as current, 31 to 60 days and 61 days or more, and the receivables report goes further. Add interest, send one to collections or write it off.

  5. Q5

    Xero, both ways

    Issued invoices go to Xero with the same number, coded to your accounts. Payments come back from Xero every 15 minutes with the amount, date and reference.

  6. Q6

    Purchase orders for sub-hire

    Ask suppliers for prices from a shortage, then confirm an offer to raise the PO and add the gear to the job. POs and supplier bills go to Xero as drafts.

Questions.

Does it work with Xero?
Yes. An owner or admin connects Xero from Settings. Issued invoices and purchase orders go to Xero, and payments recorded there, including credit notes and prepayments applied in Xero, come back and mark the invoice paid or part paid.
Are invoice lines itemised in Xero?
No. Each invoice goes to Xero as one summary line, with the job number as its reference. The itemised copy stays in Cue-RMS.
Can I mark an invoice paid without Xero?
Yes. Mark it paid and Cue-RMS records the date. Amounts and part payments are recorded when payments come back from Xero.
Can I invoice before the event?
Yes. Each job is set to invoice before the event or after it, and it shows up to bill at that point.
